Find your fit

Choose the scope around the next working day

The useful question is what must be ready when staff return. Identify that priority, then decide how furniture, equipment and packing should be organized.

A complete office relocation

Count workstations, meeting-room furniture, storage cabinets, reception items and packed files. Identify dismantling or reassembly requirements and the approved building entrances. Milvus can review the moving work against the full inventory rather than estimating from employee count alone.

A department or staged move

List the teams and areas in each stage, with the items that must remain usable between visits. Give each stage its own receiving plan and responsible contact. Confirm scheduling availability before assuming an evening, weekend or phased arrangement is included.

Furniture moving while IT stays separate

Include the physical equipment and the packing you want handled. Assign data backup, disconnection, network work and recommissioning to your IT team or provider unless a separate service is agreed. Clear responsibilities prevent furniture delivery from being mistaken for an operational office handover.

Discuss the right service for my move

Start with the first working day in the new office

Choose the first area that needs to work: reception, a bank of desks, a meeting room or daily stock storage. Use that priority in the loading sequence and room labels. Your staff should know where to find equipment after delivery.

For a Boston office or commercial move, send Milvus the furniture, cartons and equipment list. Nominate someone who can approve the scope and answer questions on the day. Keep one current floor plan with consistent desk and room numbers.

Your IT team or provider needs its own schedule for backups, server shutdown and network restoration. Tell Milvus which devices will be packed for transport and which require a specialist assessment.

Bring both building managers into the plan

Get the moving rules from the current office and the new one. They may have different insurance requirements, dock booking procedures or restrictions on when carts can use the lobby. Share those instructions early, including the contact who can authorize access.

At the end of delivery, walk through the agreed areas with your designated contact. Check the furniture placement against the plan and note any issues before employees begin unpacking into the space. Your IT team can then work through its own reconnection and testing process.

What affects a commercial moving quote?

The inventory, staffing, packing work and access determine the estimate. A small office with packed cartons and ground-floor access differs from a multi-floor relocation that shares a service elevator with other tenants.

Detail to provideWhy it matters
Furniture and equipment listDefines handling, truck space and any work needing separate assessment.
Loading dock and elevator hoursSets the usable loading and unloading periods.
Floor plans and room labelsGives the crew a destination for each item.
Packing and assembly scopeSeparates transport from the work needed before and after it.
Phases and priority areasHelps arrange the order of work around your business.

If the business needs an evening or weekend move, include that in the request. Confirm availability, the agreed time and the price before notifying staff or reserving building access.

Room codes that carry through to the new office

Give each office, workstation group or storage area a simple code that appears on the floor plan. Put that code on the cartons and relevant furniture. For shared spaces, nominate a person who can decide where items belong when the destination changes.

Keep sensitive records, keys and essential documents under your organization's chosen controls. Do not rely on leaving them in a desk drawer. Describe fragile electronics, large printers and unusual equipment while the estimate is being prepared.

  • List desks, chairs, filing cabinets and shelving separately.
  • Identify furniture that needs disassembly and confirm the reassembly scope.
  • Separate items going to the new office from items going into storage.
  • Keep priority workstation supplies together for the first day back.

The details that matter

Use one inventory that both offices can follow

Give each destination workstation or room a simple code and apply it to the corresponding furniture, monitor packaging and cartons. Keep personal items separate from shared equipment. A plan marked “desk A12, second floor” is easier for the receiving team to use than a pile of boxes labeled with names that may not match the new seating plan.

Before the move, identify the person authorized to approve changes and the contact at each building. Collect loading-dock instructions, elevator appointments and any document requirements for Milvus to review. Include storage, extra stops and furniture preparation in the written scope. At delivery, check the placement against the room plan while there is still space to correct it, then let the responsible specialists reconnect and test the systems.

Office moving questions

Can you move our office in stages?

Ask Milvus to quote the proposed phases. Provide the inventory and access window for each stage, along with the work areas that need to remain available. Confirm each stage in the agreed schedule.

Will you reconnect computers and office networks?

Arrange technical disconnection and setup with your IT provider. Milvus can review the transport and packing scope for equipment, but network configuration should stay with the people responsible for your systems.

Can you supply building insurance paperwork?

Send the building's requirements and submission deadline before booking. The request needs to be checked against the actual move and the building's specified wording.

Can you move outside normal office hours?

Tell Milvus the hours and dates you need, including the building’s permitted access. Availability and any cost implications must be confirmed for the booking. An after-hours request should be part of the initial scope rather than a last-minute change.

Do you move confidential files and records?

Discuss the physical shipment and handling requirements in advance. Your business should decide what travels with authorized staff and how access to sensitive records is controlled. Do not assume a general office move includes a specialist records-management service.

Can office furniture be stored during a fit-out?

Describe the pieces, storage period and planned installation or delivery stages. Ask for pickup, storage, handling and redelivery to be itemized. Keep anything needed during the fit-out out of the stored group.

Does the estimate cover cubicle dismantling and installation?

List the systems and required work, with photos and product details if available. Milvus needs to review the preparation and reassembly requested. Do not assume all modular or specialist furniture is included under ordinary desk moving.
